WMS contract checklist: renewal, support, data, and exit
Prepare commercial and technical questions about WMS support, renewal, data access, and transition without treating a checklist as legal advice.
Build a year-one and multiyear budget from your own quote. All starting values are illustrative.
Use a written supplier proposal and an internal estimate of project effort. Enter zero in the per-user field if the base subscription already includes every user. Enter only additional users if your quote includes a bundled allowance. A facility or order-based quote can be converted into a monthly base charge for the volume scenario you are testing; run a separate scenario for peak volume.
The model adds base subscription and user charges, multiplies by twelve, and adds annual support and internal effort. One-time implementation, hardware, and integrations are added once. Annual increases apply to the combined recurring amount from year two.
At the starting values, recurring cost is (1,000 + 10 × 50) × 12 + 6,000 = $24,000 per year. One-time cost is 15,000 + 5,000 + 10,000 = $30,000. Year one is $54,000; three years with no increase is $102,000, or $2,833.33 per month averaged across 36 months. These are invented scenario inputs, not observed market prices.
The result excludes tax, financing, discounting, migration overrun, replacement devices, variable overages, and exit charges unless you include them in the inputs. Annual support should include only costs not already in the subscription. The tool runs locally and does not submit your budget. Use whole years from 1 to 20.
